Setting up Headings

These are the headings that can be used in both the Budget & Cashbook modules. Using the same headings for both of the modules allows you to more easily compare actual cashbook figures against forecast budget figures in the variance reports.

 

Add a new primary heading

  • Headings Name - primary heading name.
  • Tax Type - the tax type of the heading.
  • Show in Cash Book - turns on/off the heading throughout the program.
  • Income Tax - whether the heading is an income item or not.
  • Accountants Code - for the program to auto-assign headings to accountant codes.
  • Planner Use - allows you to see how or where a particular heading is used in the budget module and also some reports.
    NOTE: these cannot be altered if the heading is used as a gross margin.
  • Category - is putting each account not only into income and expenses groups, but also more specific categories so they can be correctly reported. 
    NOTE: these cannot be altered if the heading is used as a gross margin.

 

  1. Open the Headings tab in Setup.
  2. Click on the Add New Account Code button.
  3. Fill in the details of the heading that you want.
  4. Click the tick button on the left to save the details (or click the cross to cancel).

Add new secondary headings

  1. Click Edit Secondary Headings at the top of the headings.
  2. Select the primary heading under which you want to add the secondary heading.
  3. Click the Add button.
  4. Enter the name of the secondary heading.
  5. Complete the remaining details.


    Main Heading - the primary heading above the secondary heading.
    Name - name of the secondary heading.
    Accounts Code - accountants code associated with the secondary heading.
    Tax Type - what tax type the heading is.
    Enterprise - what enterprise the secondary heading is associated with.
    Split - used for Automatic Split (explained below).
  6. Click the Save button.
  7. Repeat from steps 3-6 if more secondary headings are required.

Automatic Splits Explained

You will find this feature is useful in helping speed up the entry of transactions. You can setup a percentage split or amount split against particular headings. This is usually set up for Electricity or Telephone.

 

In this example we will create a split on Telephone.

Telephone : Personal - 75% heading without GST

Telephone : Business - 25% heading with GST

Telephone : Split - the split heading

 

So, if we had a telephone bill of $100 and assigned the above split, it would look like this:

 

Steps to create a Split

 

 

  1. Click on the Edit Secondary Headings button.
  2. Create a secondary heading called Personal and assign its Tax Type to Non-Applicable (explained in adding a new secondary heading).
  3. Create a secondary heading called Business and assign its Tax Type to Taxable Purchase (explained in adding a new secondary heading).
  4. Create a secondary heading called Split and assign its Tax Type to Non-Applicable
  5. Click the Add Split button.
  6. Select Telephone: Personal from the secondary heading and assign a percentage of 75.
  7. Click the Add Split button again.
  8. Select Telephone: Business from the secondary heading and assign a percentage of 25.
    It should look like this:
  9. Select the Save button.

 

Turning off a heading

  1. Select the Edit button beside the heading.
  2. Untick the Show in Cash Book tick box.
  3. Click the tick to save.
You can turn on a heading that is currently turned off by doing the same as above but ticking the Show in Cashbook box.
